Frequently Asked Questions

  • Are we responsible for feeding children that come to the day camp/VBS?
  • Yes, each youth group will receive an allotted amount of money to use for feeding the children that attend. This applies to the parent's night as well. This allotted money is to be used to purchase food, paper products (if needed), and any ministry supplies that your ministry needs for the week.

  • When do we get money for the food we serve at the day camp?
  • You will receive an allotted amount of money during a leadership meeting at the beginning of the week.

  • Are we responsible for feeding our students after the day camp?
  • No, the cook staff will prepare a sack lunch for each youth group to take to their site. These lunches are to be eaten AFTER the children leave the day camp. For parent's night, we will provide the option to pick up sack lunches at showers or eat with your children.

  • Do our cooks go with us to the ministry site to cook?
  • No, the cook's ministry during The Project is to provide a great meal for the students and youth leaders. In order to do this well, the cooks will prepare the meals while the youth groups are at their day camps.

  • What do we do if kids want to come to the day camps that aren't in the age range?
  • This decision needs to be discussed between the youth pastors and the hosting church.

  • What do we do if a new student wants to come to The Project after we have already turned in our registration?
  • We would love to have any students! We will accept new students up to the day The Project starts. If you can, please contact us with any registration changes as soon as you are aware of them.

  • What do we do if a previously registered student can no longer attend The Project?
  • Please contact Global Encounter as quickly as you can to inform us of your change.

  • Do we get money for each student to use during the free night/day?
  • Yes, Global Encounter provides $10 for each student to be used during the free night/day. If your youth group is planning on doing an activity that requires more than the allotted $10, the student or student ministry will be responsible for the balance.

  • If we have a family/couple attending, are they assigned a room separate from their youth group?
  • Provided we receive the request far enough in advance, we will try our best to accommodate and assign separate family or couple rooms. While we do want families and couples to stay together, we do require that at least one youth leader sleep in the same room as their students.

  • How are our students to travel all week?
  • Your youth ministry will be responsible to provide transportation for each student attending The Project.

  • I have a few students that are definitely attending, but several students that are unsure, how long should I wait before I turn in my registration, payments, and roster?
  • Please turn in your roster and registration for those that are certainly coming and call us with information and an estimate of those that are uncertain.

  • What can be provided if my ministry site is outdoor or at a park?
  • We want you to treat this week as your own mission trip, so we encourage youth ministries to bring as much equipment as they can. If a group ends up needing more equipment, we will try our best to help find what is necessary, but we cannot guarantee that we will have everything asked for.

  • What do I do if my child has a food allergy?
  • We have tried our hardest to keep the overall cost as low as possible. For this reason, most food for meals is bought in bulk. If you have a student with a food allergy, we may not be able to fully accommodate. All food may contain, or come in contact with: (nuts, soy, wheat, dairy, and other common ingredients.) If you have a student with a severe allergy, or in need of a special diet, please be sure that student brings any sort of medication needed for the condition and inform the student to bring any food needed for a special diet. Our cooks will try their hardest to make room in the kitchen for such circumstances. Please contact Global Encounter Ministries about any special circumstances such as these at the time of registration, or at your earliest knowledge.
